Packages go to the shipping dock (near the morgue in the main hospital)
Letters go to the mail room (near the card office in the main hospital)
Kim Winters (Kimberly.Winters@unchealth.unc.edu) is a great resource in the shipping area at Rex. She can help you make shipping labels when your sponsor doesn’t make them for you. Just email her letting her know you work in research and need to return devices and have not been provided a shipping label, and give her the following information:
Shipped from address (yours – make sure you use ATTN: *insert Coordinator name here*
Shipped to address (whatever the sponsor gives you)
Account # that the shipping costs should be billed to (the sponsor should give you this)
Alternatively, you can fill out shipping labels manually. There are some on the supply closet. If not, there is a kiosk in the shipping dock that you can use to make your own labels.
Shipping dock staff are super helpful. When I first started, I would just show up there with things that need to be shipped and asked for help. They walked me through the process.
Certified letters are helpful when you need to make sure something you’re sending to a patient is actually being received by the patient. There is an example certified letter in the supply closet in our office. Use this as your model for addressing the letter. Certified letters are usually sent after you’ve contacted a patient 3 separate times to try and get them to come in for a follow up. After the third time, you’ll send a certified letter and patient will usually be marked as Lost-To-Follow-Up (LTFU).
Again, this varies by study so check the protocol to confirm.
Bring the certified letter to the mailroom – do not add any stamps, postage is paid for/included in the certified letter slip.
Drop it off in the “outgoing mail” cubby (located at the end of the mailroom, straight ahead).
